EntryBooth Terms of Service

Effective Date: September 19, 2026

These Terms of Service ("Terms") are a legally binding agreement between you and EntryBooth LLC, a Minnesota limited liability company ("EntryBooth," "we," "us," or "our"), governing your access to and use of EntryBooth websites, web applications, desktop applications, public event-entry forms, payment-related tools, support services, and related services (collectively, the "Services").

By creating an EntryBooth account, purchasing a subscription, accessing or using an authenticated organization account, or otherwise using the Services in a manner that indicates acceptance of these Terms, you agree to these Terms. If you use the Services on behalf of an organization, you represent that you have authority to bind that organization, and "you" includes that organization.

Our Privacy Policy explains how we handle personal information.

1. The EntryBooth service

EntryBooth provides software for event administration, including tools for event setup, public registration forms, entries, teams, schedules, scoring, results, event payments, refunds, financial reporting, and related event-management functions.

EntryBooth is a software provider. Unless expressly stated otherwise, EntryBooth is not the producer, promoter, sanctioning body, judge, steward, venue, equine professional, insurer, or operator of an event listed or administered through the Services.

2. Eligibility and organization accounts

You must be at least 18 years old, or the age of legal majority where you live if higher, and legally capable of entering into a binding agreement to create or control an EntryBooth organization account.

If you create or use an account for a club, association, business, nonprofit, event producer, or other organization, you represent and warrant that you are authorized to act for that organization.

You are responsible for:

  • providing accurate account and organization information;
  • maintaining the confidentiality and security of account credentials;
  • restricting account access to authorized persons;
  • all activity performed through your account, except to the extent caused by EntryBooth's breach of these Terms or applicable law;
  • promptly notifying us if you suspect unauthorized account access.

EntryBooth currently associates an organization with a single organization account. You may permit authorized personnel to use the organization account, but you remain responsible for controlling access and should not disclose credentials to unauthorized persons.

3. Event organizer responsibilities

If you use EntryBooth to create or administer an event, you are the event organizer for purposes of these Terms.

The event organizer is solely responsible for the event itself, including:

  • event rules, eligibility requirements, class definitions, schedules, and cancellation policies;
  • participant notices, releases, waivers, and consent language;
  • compliance with sanctioning-body, venue, insurance, animal-health, tax, licensing, safety, and other requirements that apply to the event;
  • the accuracy of event pricing, class offerings, discounts, entry limits, and other information presented to entrants;
  • reviewing entries, ride times, scores, placings, jackpot calculations, award calculations, and payout calculations before treating them as final;
  • decisions about refunds, disqualifications, results, prizes, and event-entry disputes;
  • obtaining any notices, permissions, parental or guardian consents, or other authorizations required for information collected through a public form;
  • ensuring that the event organizer has a lawful basis to collect and use personal information requested through its forms.

EntryBooth provides configurable tools, but we do not provide legal advice and do not draft or approve the legal sufficiency of an organizer's waiver, release, consent, refund policy, or event rule.

4. Public event forms and entrants

An event organizer may make an EntryBooth form available to riders, participants, parents, guardians, team captains, or other submitters ("Entrants").

Entrants are responsible for providing accurate information and for having authority to submit information about any other person they register, including teammates or minor participants.

Event participation, acceptance of an entry, eligibility, event rules, refunds, prizes, schedules, results, and disputes about an event are matters between the Entrant and the event organizer, not EntryBooth, except to the extent a problem is caused by EntryBooth's own failure to provide the Services as required by these Terms or applicable law.

If an event organizer includes a waiver, release, acknowledgement, signature field, or other event-specific term in a form, that content is supplied by the organizer. EntryBooth provides the technical mechanism for displaying and recording the content but is not responsible for determining whether the organizer's language is legally sufficient or enforceable.

5. User content

"User Content" means information or material that you or people using your event forms submit, upload, create, or store through the Services, including event information, form configuration, logos, images, instructions, entrant data, signatures, results, and other content.

As between you and EntryBooth, you retain ownership of your User Content.

You grant EntryBooth a worldwide, non-exclusive, royalty-free license to host, store, reproduce, process, transmit, display, modify solely for technical formatting, back up, and otherwise use User Content only as reasonably necessary to provide, secure, maintain, support, and improve the Services; comply with law; and enforce these Terms.

You represent and warrant that you have the rights and permissions necessary for the User Content you provide or direct us to process.

6. Privacy and sensitive information

Our Privacy Policy describes EntryBooth's processing of personal information.

Event organizers are responsible for deciding what information their forms request and for complying with privacy, consent, recordkeeping, and notice obligations that apply to that collection.

You must not use custom EntryBooth form fields to collect passwords, full payment-card numbers, full bank-account credentials, Social Security numbers, government-account credentials, or similarly high-risk information unless the collection is lawful, necessary, and specifically supported by an EntryBooth workflow designed for that information.

If you collect sensitive information through an event form, you are responsible for determining that the collection is lawful and necessary and for providing any required notices, consents, safeguards, or retention controls.

7. EntryBooth subscriptions

Access to authenticated organization-management features may require a paid EntryBooth subscription.

EntryBooth subscriptions are billed through Stripe. Even if an organization later chooses PayPal instead of Stripe for event-entry payments, PayPal is not an alternative method for paying EntryBooth subscription fees.

Subscription prices, features, limits, and billing intervals are shown before purchase and may vary by plan. Unless otherwise stated at purchase:

  • subscriptions renew automatically for successive billing periods until canceled;
  • subscription fees are charged through Stripe;
  • you authorize EntryBooth and Stripe to charge the payment method associated with your subscription;
  • cancellation takes effect at the end of the then-current paid billing period;
  • access may continue through the end of that paid period;
  • fees already paid are non-refundable and are not prorated, except where required by law or expressly stated otherwise.

You may manage an eligible subscription through the billing tools or Stripe customer portal made available through the Services.

We may change subscription prices or plan features prospectively. If required by law or appropriate based on the nature of the change, we will provide advance notice. A price change will not retroactively change charges already paid.

You are responsible for taxes imposed on your purchase of the EntryBooth subscription, except taxes imposed on EntryBooth's income. Stripe or EntryBooth may collect taxes where required.

8. Event-entry payments and payment processors

Event-entry payments are separate from EntryBooth subscription billing.

When an organizer enables online event payments, EntryBooth may facilitate payment functionality through Stripe Connect or, where made available, PayPal. EntryBooth subscriptions remain billed through Stripe regardless of which event-entry payment option an organizer uses.

For event-entry transactions:

  • the event organizer, not EntryBooth, is the merchant or seller responsible for the transaction;
  • the organizer sets event prices and refund policies;
  • the organizer is responsible for its transactions, customers, taxes, refunds, and compliance obligations;
  • the applicable payment processor handles payment-card information and other payment credentials through its own payment interfaces and systems;
  • the payment processor's terms, restrictions, verification requirements, risk controls, and availability rules also apply;
  • EntryBooth does not take a percentage platform fee from event-entry charges unless a future feature is expressly disclosed before the charge.

When Stripe is used, charges are created on the organizer's connected Stripe account, and Stripe provides Connect onboarding, payment processing, refunds, disputes, balances, and payout functionality.

Where PayPal is offered, the organizer connects or uses its own PayPal merchant account for event-entry payment functionality. PayPal controls its own account onboarding, eligibility, payment methods, risk review, disputes, refunds, holds, and related payment services.

EntryBooth may display transaction, fee, balance, dispute, refund, and payout information received from the applicable payment processor, but the processor is responsible for its own payment network and financial-services functionality.

9. Refunds, disputes, balances, and payouts

EntryBooth may provide software controls that allow an organizer to initiate or view refunds, disputes, balances, and payouts associated with its Stripe connected account.

The organizer is responsible for deciding whether an event-entry refund is owed and for complying with its published refund policy and applicable law.

Stripe or PayPal, as applicable, may delay, restrict, reverse, reserve, hold, reject, or otherwise control payments, refunds, disputes, verification, balances, or payouts under that provider's own terms and risk rules. EntryBooth does not guarantee that funds will be available by a particular time.

Where EntryBooth configures manual payouts for Stripe, funds may remain in the organizer's Stripe balance until an authorized organizer initiates a payout. PayPal payout and funds-availability behavior is governed by the PayPal functionality made available to the organizer and PayPal's own terms. The organizer is responsible for reviewing payout amounts and destinations before submission.

10. Results, calculations, and event operations

EntryBooth can calculate or display draws, ride order, scores, placings, division splits, jackpots, sidepots, awards, refunds, and payout amounts based on data entered into the Services.

The event organizer is responsible for reviewing this information before publishing results, distributing prizes, sending payouts, or taking other irreversible action.

Software calculations may be affected by incorrect inputs, event-rule configuration, connectivity problems, software defects, or later corrections. EntryBooth does not serve as the official judge or rule authority for an event.

11. Equestrian and event risks

Equestrian activities and in-person events may involve risks of personal injury, death, property damage, animal injury, weather disruption, and other hazards.

EntryBooth does not control event premises, horses, riders, equipment, officials, safety procedures, veterinary decisions, arena conditions, travel, or other real-world event operations.

Event organizers are responsible for appropriate safety procedures, insurance, waivers, emergency planning, and compliance with laws that apply to their events. EntryBooth does not provide insurance or assume the role of an event organizer merely because an event uses the Services.

12. Third-party services

The Services interoperate with third-party products and services such as Stripe, PayPal, Supabase, Cloudflare, Resend, Sentry, and Google authentication.

Your use of a third-party service may be governed by separate terms and privacy policies from that provider. EntryBooth is not responsible for third-party services outside our reasonable control, including changes to their availability, policies, pricing, or functionality.

13. Acceptable use

You may not use the Services to:

  • violate any law or regulation;
  • infringe another person's intellectual-property, privacy, publicity, or other rights;
  • submit information about another person without required authority or permission;
  • facilitate fraud, deceptive conduct, unlawful gambling, money laundering, or other illegal financial activity;
  • upload malware or attempt to interfere with, disable, overload, or bypass security controls;
  • probe, scan, or test the vulnerability of the Services without written authorization;
  • bypass rate limits, access controls, subscription restrictions, or payment controls;
  • use automated means to scrape or access the Services in a manner that materially burdens the Services or violates access controls;
  • impersonate another person or organization;
  • use the Services to collect highly sensitive information through an unsupported workflow;
  • reverse engineer, decompile, or circumvent technical protections except to the limited extent such restriction is prohibited by applicable law.

We may investigate suspected violations and take reasonable steps to protect the Services and other users.

14. EntryBooth software and intellectual property

EntryBooth and its licensors own the Services, including the software, interfaces, designs, documentation, trademarks, logos, and other materials we provide, excluding User Content and third-party materials.

Subject to these Terms and any applicable subscription, we grant you a limited, non-exclusive, non-transferable, non-sublicensable, revocable license to access and use the Services for your organization's internal event-management purposes.

The EntryBooth name, logos, and related marks may not be used without permission except as allowed by law.

15. Feedback

If you provide suggestions, ideas, bug reports, or other feedback about EntryBooth, you grant us a perpetual, worldwide, irrevocable, royalty-free right to use and incorporate that feedback without restriction or compensation, provided we do not publicly identify you as the source without permission.

16. Service changes, updates, and availability

We may modify, update, add, or remove features to maintain, secure, or improve the Services.

We may release desktop updates and may require an update where reasonably necessary for security, compatibility, or continued operation.

We do not guarantee uninterrupted or error-free availability. The Services may be unavailable because of maintenance, outages, third-party failures, internet problems, security incidents, force-majeure events, or other circumstances.

Where practical, we will use reasonable efforts to avoid materially disrupting paid functionality without notice.

17. Suspension and termination

You may stop using the Services at any time. Subscription cancellation is governed by Section 7.

We may suspend or restrict access if reasonably necessary to:

  • address nonpayment;
  • protect the Services or other users from security, fraud, or abuse risks;
  • comply with law or a binding legal request;
  • respond to a material breach of these Terms;
  • prevent harm while we investigate suspected misuse.

Where reasonable under the circumstances, we will provide notice and an opportunity to cure a breach before terminating a paid account.

Termination does not eliminate payment, recordkeeping, indemnity, intellectual-property, limitation-of-liability, dispute, or other obligations that by their nature should survive.

18. Disclaimers

TO THE MAXIMUM EXTENT PERMITTED BY LAW, THE SERVICES ARE PROVIDED "AS IS" AND "AS AVAILABLE."

ENTRYBOOTH DISCLAIMS IMPLIED WARRANTIES OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, TITLE, AND NON-INFRINGEMENT, AND ANY WARRANTY ARISING FROM COURSE OF DEALING OR USAGE OF TRADE.

WE DO NOT WARRANT THAT THE SERVICES WILL BE UNINTERRUPTED, ERROR-FREE, OR SUITABLE FOR EVERY EVENT, RULE SET, PAYMENT SITUATION, OR LEGAL REQUIREMENT.

ENTRYBOOTH DOES NOT WARRANT THE ACCURACY OF INFORMATION SUPPLIED BY ORGANIZERS, ENTRANTS, STRIPE, OR OTHER THIRD PARTIES.

Nothing in these Terms excludes a warranty or right that cannot lawfully be excluded.

19. Limitation of liability

TO THE MAXIMUM EXTENT PERMITTED BY LAW, ENTRYBOOTH AND ITS OWNERS, OFFICERS, EMPLOYEES, CONTRACTORS, AND AFFILIATES WILL NOT BE LIABLE FOR INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, EXEMPLARY, OR PUNITIVE DAMAGES, OR FOR LOST PROFITS, LOST REVENUE, LOST DATA, LOSS OF GOODWILL, EVENT CANCELLATION LOSSES, LOST PRIZE OPPORTUNITIES, OR BUSINESS INTERRUPTION, ARISING OUT OF OR RELATING TO THE SERVICES, EVEN IF ADVISED THAT SUCH DAMAGES ARE POSSIBLE.

TO THE MAXIMUM EXTENT PERMITTED BY LAW, ENTRYBOOTH'S TOTAL AGGREGATE LIABILITY ARISING OUT OF OR RELATING TO THE SERVICES OR THESE TERMS WILL NOT EXCEED THE GREATER OF:

  1. THE AMOUNT YOU PAID DIRECTLY TO ENTRYBOOTH FOR THE SERVICES DURING THE 12 MONTHS BEFORE THE EVENT GIVING RISE TO THE CLAIM; OR
  2. 100 U.S. DOLLARS.

Amounts paid by an Entrant to an event organizer are not amounts paid to EntryBooth for purposes of this limitation.

These limitations do not apply to liability that cannot legally be limited or excluded.

20. Indemnification by organization customers

To the extent permitted by law, an organization using EntryBooth agrees to defend, indemnify, and hold harmless EntryBooth and its owners, officers, employees, contractors, and affiliates from third-party claims, damages, liabilities, costs, and reasonable attorneys' fees arising from or related to:

  • the organization's event operations, rules, eligibility decisions, safety practices, waivers, cancellations, refunds, prizes, or payouts;
  • User Content supplied or controlled by the organization;
  • the organization's collection or use of personal information;
  • the organization's violation of law, third-party rights, or these Terms;
  • a dispute between the organization and an Entrant, except to the extent caused by EntryBooth's own breach, negligence, willful misconduct, or other liability that cannot be shifted under applicable law.

21. Governing law and disputes

Before filing a formal legal claim, you and EntryBooth agree to make a reasonable effort to resolve the dispute informally by contacting the other party and describing the dispute.

Except where mandatory law provides otherwise, these Terms and disputes arising from them are governed by the laws of the State of Minnesota, without regard to Minnesota's conflict-of-law principles.

Any court proceeding arising out of or relating to these Terms or the Services must be brought in a state or federal court of competent jurisdiction located in Minnesota, unless applicable law gives a party the right to bring the proceeding elsewhere. You and EntryBooth consent to personal jurisdiction in those courts.

These Terms do not require arbitration. They also do not include a contractual waiver of the right to a jury trial or to participate in a class proceeding.

22. Changes to these Terms

We may update these Terms from time to time.

If we make a material change, we will provide notice through the Services, by email, or by another reasonable method as appropriate. We may require organization account holders to affirmatively accept materially revised Terms before continuing to use authenticated management features.

The updated Terms will state their effective date. Changes will apply prospectively unless applicable law permits otherwise.

23. Electronic communications

You agree that we may provide notices, disclosures, agreements, billing communications, and other records electronically, including by email or through the Services, to the extent permitted by law.

We may also send marketing or promotional emails where permitted by law. You may opt out of marketing emails using the unsubscribe method provided in those messages. Opting out of marketing does not prevent us from sending transactional or service-related communications.

You are responsible for keeping your account email address current.

24. Miscellaneous

These Terms, together with the Privacy Policy and any additional terms expressly presented for a specific EntryBooth feature or purchase, constitute the agreement between you and EntryBooth regarding the Services.

If a provision of these Terms is found unenforceable, the remaining provisions remain in effect to the maximum extent permitted by law.

A failure to enforce a provision is not a waiver.

You may not assign these Terms without our consent, except in connection with a permitted transfer of your organization and account. We may assign these Terms in connection with a merger, acquisition, reorganization, financing, sale of assets, or similar transaction.

Neither party is liable for a failure or delay caused by circumstances beyond its reasonable control, except for payment obligations already due.

Section headings are for convenience and do not limit the meaning of these Terms.
